Subscriptions and Licenses Defined

Understanding Your Order Type

Responsive Learning offers two ways to purchase professional learning access. Both use credit hours, which represent the total course time—including time spent on reflective questions and other required in-course interactions.

At a glance

  • Subscription-based orders are time-based, typically 365 days, with a fixed credit-hour cap calculated as number of users × max hours per user. They offer lower unit rates but unused hours don’t roll over.

  • License-based orders are hour-based; the order ends when the purchased hours are used and operates on a 365-day order period. If hours remain, you can roll over a larger balance to a new order or extend the period for a smaller balance.

  • Extensions: In some cases, subscriptions may be eligible for an extension. Please work with your Customer Success Coordinator to determine if this option is available to you..

Subscription-Based Orders (time-based access)

What it is
A subscription is a time-based order—typically 365 days (shorter terms available if needed).

How your cap is set
Your subscription includes a maximum credit-hour cap calculated as users × max hours per user (e.g., 100 users × 6 hours = 600 credit hours). You can change the max hours per user mid-term; note that this change applies to all users in the order.

Value & rollover
Subscriptions provide lower unit rates in exchange for being time-limited; unused hours do not roll over at the end of the term. If you anticipate a large unused balance, your Customer Success Coordinator (CSC) can review whether partial credit is appropriate.

If you need more hours mid-term
You can purchase a Supplement Order to add credit hours to your existing subscription. Supplement Orders are tied to the same registration code as your current order, so users continue enrolling exactly as before.

Aligning to your fiscal year
We can extend a subscription’s end date to align with your district’s fiscal cycle when appropriate. Your CSC can advise on timing.

License-Based Orders (hour-based access)

What it is
With a license order, you purchase a specific number of credit hours. The order ends when those hours are used and runs on a 365-day order period.

If hours remain at the end of the period

  • If the unused balance is high (>15%), those hours may be rolled over to a new order (with a new registration code).

  • If the unused balance is low (<15%), the order period may be extended to give you extra time.

Registration & Enrollment

Every order has a unique registration code that connects users to that order. After purchase, the RL Fulfillment Team sends enrollment instructions—including the registration code—to the purchaser or district Order Administrator, who then shares them with users. (When license hours are rolled to a new order, a new registration code is issued.)

Tracking Usage (Admin Dashboard)

District Order Administrators can use the Admin Dashboard to monitor:

  • Remaining hours and the current cap

  • Usage by campus, role, and individual user

This visibility helps you plan, pace, and document progress throughout the term.

User Management

  • Replacing users: Once a user has consumed hours, their usage is part of the permanent record and the user cannot be replaced in that order.

  • Adding users: You may add new users at any time. Any new user’s training will draw from the order’s remaining credit hours.
